The challenge

Each summer, the campground hosts a beloved Family Camp week, bringing together hundreds of guests for worship, community, and shared meals. However, their process for managing meal ticket reservations was time-consuming and error-prone:

  • Manual record-keeping in spreadsheets
  • Inconsistent tools for checking guests in at the dining hall
  • No reliable method for the kitchen to know how much food to prep
  • Limited visibility for guest services to follow up on payments or missing information

The campground needed a system that was simple enough for staff and volunteers to use, yet robust enough to deliver accurate, up-to-date information to multiple departments.

The solution

I designed and built a custom Airtable base and interface tailored specifically for the camp's Family Camp meal ticket workflow. The solution replaced spreadsheets with a unified, automated tool that delivered real-time clarity across departments.

Guests submitted their meal ticket reservations through a user-friendly online form, accessible before and during camp.

Automated Email Summaries

Upon submission, guests received a confirmation email summarizing their selections, while staff received real-time totals and reservation alerts.

Guest Services Dashboard

Staff could easily view all reservations, see which guests had completed payments, and flag entries for follow-up, streamlining guest communication.

Daily Meal Counts for the Kitchen

A daily breakdown by meal (breakfast, lunch, dinner) ensured the kitchen had accurate headcounts to prep food confidently.

Dining Hall Roster for Check-In

A full roster, filterable by day and meal, allowed dining hall volunteers to check in guests with ease and eliminate confusion at mealtime.
